As tasks are integral to the success of all projects, you're able to create them in multiple places within your Ruum account.

Milestones allow you to highlight significant stages or events in your project. They can be created directly from your canvas or by converting an existing task.

When creating and editing a task in Ruum, you have a number of useful fields and options available to you.

Subtasks enable you to break down the work involved in completing one larger task into smaller, complementary pieces of work or actions.

Assigning a task or subtask to team members or roles gives them ownership of their work and allows them to track their progress.

Kanban boards are a visual project management tool, helping you to manage the flow of your tasks through a project.

You can turn a task into a milestone, or a milestone back into a task, at any time using the task management options.

Custom fields can be added to all tasks within a ruum by ruum admins. These fields can then be used by admins and editors to input data and select options.

Existing Tasks, Subtasks, and Milestones can be updated at any time by admins and editors. This includes edits, status updates, moving sections, and dates.

Deleting an existing task, subtask, or milestone will remove it and its related tasks for all ruum or group participants.

Your timeline provides a visual, gantt chart representation of all tasks within a ruum. This can be used to both view your progress and to edit existing tasks.

With filters you can specify the content you want to display within your own lobby, tasklist, or workspace view.

In addition to filtering your Ruum content, you can also customize the columns displayed in your lobby tables.

Your lobby, accessed by clicking Home at any time, is a central dashboard for creating, accessing, and managing your content in Ruum by SAP.

Available to Professional and Enterprise users, groups allow you to organize your related Ruums in a digital folder within your lobby.

Depending on the permissions you hold within them, you can manage, edit, and delete existing Ruums and Groups from within your lobby.

Labels are text-based tags that can be manually added to ruums and groups, helping you to quickly identify and filter your content.

When creating a ruum from a template that contains dated tasks or milestones, you can choose to automatically align their start or due dates to a chosen date.

Workspaces, created for enterprise license holders on request, are an optional layer within Ruum by SAP for teams and organizations.

Custom fields, available to enterprise users, allow teams to capture unique work data on their canvas. They are created and managed by workspace admins.

Roles, available to enterprise users, allow you to assign team members to positions on a canvas. They are created and managed by workspace admins.

You can leave a ruum, group, or workspace at any time, removing your access to that content. However there are important implications to note when doing this.

Workspace admins are able to delete a Ruum from within their workspace. This removes it entirely for all participants of that workspace and is irreversible.

You can generate, view, and print reports for individual Ruums you participate in. These reports are based on your status updates and tasks from that Ruum.

Successful teams need good communication tools, which is why you'll find comment and chat features embedded within each Ruum.

With our team member permissions, you can define who has access to your Ruums, Groups, and Workspace and what actions they can perform once there.

Admins and Editors (when allowed) can invite additional team members to Ruums at any time, regardless of whether the team member currently have a Ruum account.

Group admins can invite additional team members to join their group at any time. This gives them access to all content contained within that group.

With Ruum's team activity features, you can see both recent activities by team members and an overall record of all activities in a Ruum.

Group and workspace admins, plus ruum admins and editors, can edit existing team member's permissions at any time.

Group and workspace admins, plus ruum admins and editors, can remove an existing team member at any time.

Ruum templates are a preset layout for your projects, allowing you to efficiently create new ruums without replicating previous work or configurations.

Once created, you can edit a ruum or section template at any time from your Ruum account. This updates the template for all team members who have access to it.

Section templates alllow you to create re-usable canvas sections for your Ruum account. These can then be added to existing ruums at any time.

Both section templates or individual sections within a wider template can be locked by their admins and editors while in edit mode.

You can leave or delete a ruum template or section templates at any time, removing them from your account.

You can create a template from an existing Ruum at any time. This saves your canvas, task list, timeline, and Kanban board to your templates library.

You can duplicate ruum or section templates within your account only at any time. This creates a copy of your canvas, tasks, timeline, and kanban board.

Inviting a team member to collaborate on an existing template gives them permission based access to this template within their Ruum account.

Once invited to a template, you can edit a team member's access and permissions within that template from the team members panel.

As Ruum is a browser based application, you may wish to log out from your account occassionally. You can do this from the side panel.
